Position Summary/Purpose of Position:

The Institute for Physical Science and Technology is home to UMD’s most interdisciplinary graduate
programs: AMSC, Biophysics (BIPH), and Chemical Physics (CHPH).

  • The BIPH & CHPH Graduate Assistant will:
  • Support the Biophysics & Chemical Physics coordinator and program directors by providing outstanding customer service to Biophysics and Chemical Physics students, faculty, and prospective students.
  • Plan and execute all aspects of weekly Biophysics seminar, including ordering refreshments, setting up, and cleaning up. Must be available on Mondays from 3:30 – 5:30 pm during the Fall and Spring semesters.
  • Represent IPST in a professional and knowledgeable manner at events as well as by phone, email, and in-person contact.
  • Provide information about program requirements/procedures to current students and admissions requirements/procedures to prospective students
  • Assist with recruitment, other events, and marketing initiatives
  • Assist with BIPH + CHPH admissions process
  • Assist with the organization and planning of committee advisory meetings, academic advising, and rotation presentations
  • Assist with updating reports, presentations, documents, and webpages, etc.
  • Perform clerical tasks such as creating documents, printing, filing, etc.
  • Perform other related duties as assigned

During events, hands-on work such as setup and clean up will be required.
This is a 10-hour per week assistantship that begins in August and ends in May.

Minimum Qualifications:

Education:
  • Bachelor’s degree required. 
  • Must be accepted into Master’s or Doctoral program at UMD, and able to work required 10 hours per week in the IPST Graduate Programs Office. 
  • Candidate must maintain full-time enrollment status in a graduate program at UMD while employed as an FTE 0.25 Graduate Assistant (for more info: https://academiccatalog.umd.edu/graduate/policies/policies-graduate-assistantships/).

Knowledge, Skills, and Abilities:
  • Excellent knowledge of one of Microsoft Excel, Google Sheets, or Airtable, as well as Google Drive applications, Adobe Acrobat, Zoom, and Box, and be adept at learning new tech skills/tools.
  • Ability to handle confidential data with discretion and tact
  • Commitment to higher education administration and providing excellent customer service to IPST faculty, students, staff, and prospective students
  • Excellent written and verbal communication skills
  • Ability to prioritize and handle multiple projects and assignments with various deadlines simultaneously.
  • Attention to detail, good judgment, and strong planning and organizational skills.

Preferences:

Preferences:
  • Experience with event planning (e.g., room reservations, ordering food, advertising, etc.).
  • Experience in customer service, especially in a university setting.
  • Interest in higher education administration or student affairs/programming.
  • Experience working in an office setting.
  • Graphic design or social media skills and experience.

Additional Information:

Benefits of this appointment include 5 credits of tuition remission during the Fall and Spring semesters (Note that UMEI courses and consortium courses are not covered under tuition remission) and participation in the employee’s health benefits program. All Graduate Assistants on a full-time or half-time appointment are billed at the in-state rate for credits taken during their appointment, including any credits taken over the tuition remission allowance.

Most hours will be performed during normal working hours, except for the weekly Biophysics Seminar cleanup. There will be rare occasions with working hours after 5 pm for other events.

Physical Demands

  • Normal office environment requiring the ability to operate standard office equipment and keyboards. Able to push, pull, lift, carry objects up to 25 pounds for events and other duties.
  • Ability to travel around campus for meetings, events, and to attend to duties.
  • Position requires on-site presence and involvement in the set-up, break-down and staging at meetings and special events. Some infrequent evening and weekend work may be required.
  • Must be able to climb stairs, as the IPST building is not accessible.
