What You’ll Do
 
This position presents an exciting opportunity in support of our grant/funding management projects. This role will provide program implementation guidance and oversight to partners in the field to support the effective administration of program funding. The Senior Specialist will be responsible for administrative work in relation to updating resources for new programs, establishing contracts and subgrants, processing invoices and performing report analysis, and capturing lessons and successes that can be shared internally and externally throughout the California workforce development and education systems.
 
Provide administrative support for assigned grantees and projects.
  • Lead development and implementation of grant management processes in collaboration with Manager and internal and external partners.
  • Lead grantee contracting, subgrant, and grant timeline management efforts. Coordinate with grantees and internal partners to finalize contract and subgrant agreements including engaging in exhibit revisions, documentation gathering and processing, and tracking to ensure timelines are met.
  • Monitors grantee fiscal performance and spend down. Tracks all expenditures, processes invoices, runs and analyzes expenditure reports in Salesforce.
  • Identifies and analyzes any spending or performance issues or data discrepancies and makes recommendations to resolve issues.
  • Oversee requests and inquiries from grantees and partners while providing exceptional customer service and timely follow-up.
Leads all program reporting and grant management activities for assigned grantees and projects.
  • Provides reporting guidance and direction for grantees.
  • Partners with the technical assistance team to identify, capture, and raise effective practices and successes.
  • Provides specialized guidance for grantees who are struggling to meet their reporting timelines. Identifies barriers and troubleshoot issues to determine solutions.
  • Presents findings, inquiries, and grantee questions to the management and technical assistance team.

  • Excellent project management skills with an ability to prioritize tasks and deliver quality products within agreed upon timeframes, with limited supervision.
  • Demonstrated ability to research, analyze, synthesize, and communicate complex topics to a variety of audiences, in a variety of formats (e.g. toolkits, reports, graphic displays, presentations).
  • Ability to manage multiple projects and clients with competing interests and needs.
  • Exceptional ability to build and maintain collaborative working relationships with internal and external stakeholders.
  • Willingness to assist others with completion of tasks outside their typical responsibilities when work volume exceeds anticipated levels.
  • Outstanding written and verbal communication skills, with a proven ability to communicate effectively with a range of audiences, from C-suite professionals to inexperienced youth.
  • Must be a self-starter, quick learner, problem solver, and highly motivated and able to work on a fast-paced team.
  • Ability to exercise good judgment and escalate critical issues and sensitive matters as necessary.

Budgeted Annual Salary Pay Range:
$75,000.00 - $100,000.00
 
Final salary and rates are based on education, experience, skills relevant to the role, and internal equity.
