The Physics Department provides: (1) High quality Physics instruction to the University community through courses in introductory physics; (2) educational opportunities for undergraduate and graduate students in physics through high quality curricula, faculty, and research facilities; (3) outreach programs that advance scientific knowledge. Our research programs cover a diverse spectrum including astrophysics, general relativity, condensed matter theory and experiment, computational physics, biophysics, nanoscale science, physics education, experimental nuclear physics, particle and nuclear theory, experimental optics, and experimental atomic and molecular physics. The department enrolls approximately 120 graduate students and 140 undergrad physics majors. The department size is approximately 56 faculty members. Essential Job Duties

The Accounting Technician position will independently use their understanding of Cost Accounting Standards (Federal), State of North Carolina, Agency sponsors, and NC State University regulations, rules, and policies to provide dynamic financial support to the department Business Manager and department constituents. The position’s portfolio will include state funds, F&A, appropriate receipts, discretionary and foundation funds, and if applicable may include premium tuition and service center receipts all with unique spending requirements and restrictions.

In this role you will work with the Business Manager to develop and maintain systems to improve the efficiency of the position function as well as to identify process improvements of the Business operations of the Department that will benefit all constituents. You will utilize your understanding of the diverse funding sources under your authority to ensure all applicable guidelines and restrictions for each fund type are followed.  Additionally, you will work independently to resolve issues and communicate with Business Manager and the constituent groups when problems are identified, and provide solutions. 

Key responsibilities of the position include but are not limited to: 
  • Processing financial transactions such as vouchers, requisitions, salary distribution changes, travel related transactions, purchase card purchases and reconciliations, service unit billing, interdepartmental transactions, journal vouchers
  • Provide guidance and assistance travel arrangements for all department employees, students, and visitors based on the interpretation of university regulations, rules and policies
  • Monitor account balances and workflow to ensure appropriate allocation of funds in accordance with funding/spending guidelines
  • Research and correct any errors found in allocation or spending as a result of proactively monitoring accounts

Other Responsibilities

Perform general administrative support duties as needed including coverage support for 1/2 – day per week for faculty in Partners II/III. Duties while at PII/PIII and in Riddick as needed include answering phones, distribution of mail and packages, coordinating coffee/tea/cookies at colloquium and seminars, and support with external events hosted by the department.

Minimum Experience/Education

High School Diploma or equivalency and one year of experience in accounting work; or equivalent combination of training and experience.

Other Required Qualifications

  • Working knowledge of finance reporting software systems
  • Familiarity utilizing Microsoft Office, Google Doc/Sheets and Excel for financial reporting/monitoring
  • Customer-centric focus centered around guiding and advising on financial matters

Preferred Qualifications

  • Ability to utilize formulas within Excel, Google Sheets or other similar systems
  • Experience working in a university environment
  • Experience in preparing accounting budgets, managing fiscal activities, monitoring costs and account reconciliation
  • Experience monitoring funding and spending based on guidelines, policies, rules and regulations
