Duties and Responsibilities

Essential Duties and Responsibilities
The Administrative Assistant I provides essential administrative support to the Executive Director of Human Resources, facilitating operations within the Human Resources department. This role involves managing schedules, coordinating meetings, handling correspondence, and performing a variety of complex Vaclerical tasks to support the Executive Director’s objectives.  
Characteristic Duties and Responsibilities

  1. Provides administrative assistance to the Executive Director, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  2. Drafts, proofreads and distributes correspondence, including memos, reports and emails,     Serves as point of contact for internal departments and external agencies.
  3. Assists the Executive Director in the preparation of the annual budget for the Office of Human Resources.
  4. Organizes and prepares materials for meetings, including agendas, minutes and presentations.     Ensures follow-up action items.
  5. Maintains and updates files and records, including confidential HR documentation.  Ensures proper filing and retrieval of documents as needed.
  6. Oversees office supplies inventory, order materials and manages office equipment maintenance.
  7. Assists in planning and organizing HR-related events including Convocation, Employee Recognition, In-Service.
  8. Performs data entry tasks and maintains accurate records in HR databases and systems.
  9. Performs general office and clerical responsibilities including answering telephone and taking messages, scheduling appointments, greeting office visitors and answering general questions regarding College policies and procedures.
  10. Develops and initiates office forms and procedures and recommends improvements.
  11. Compiles and prepares information for reports and distributes them to necessary personnel.
  12. Performs other duties as assigned.

Qualifications/Certifications/Licenses/Skills

Required:

  • High School diploma or equivalent.

  • 1 – 2 years administrative experience

  • Valid Texas Driver’s License.


Preferred:
  • Associates Degree in Business Administration, Finance, IT or related field.

  • HR or executive support role and/or experience in an educational setting.

  • Office and/or Computer related training certificates.

Knowledge, Skills and Abilities

  • High level of interpersonal skills to handle sensitive and confidential situations and documentation. 
  • Possess excellent telephone, written and oral communication skills. 
  • Knowledge of office administration procedures. 
  • Ability to operate standard office equipment.  
  • Must be familiar with technology, personal computer and related software applications. 
  • Must have strong attention to detail and problem solving skills. 
  • Must possess solid organizational and time-management skills. 
  • Able to work independently, prioritize work flows, manage multiple priorities and meet deadlines.
  • Must be able to understand and follow oral and written direction. 
  • Ability to develop and maintain effective working relationships with employees within the Human Resources department/division, employees of other divisions, and general public.  
  • Ability to maintain a high level of confidentiality.
  • Proficiency in using a variety of computer software applications, especially Excel and Microsoft Word software. (MS Office programs).

Assists with supervising student employees assigned to the Human Resources Office.

Physical Requirements
While performing the duties of this job, the employee is regularly required to sit.  
The employee is occasionally required to stand, walk, stoop, kneel, or crouch.  
The employee must occasionally lift and/or move items weighing up to 50 pounds.

Work Environment
Work is performed in a standard office environment.    
Work-inside a well-lighted and air-conditioned area most of the time.  
The noise level in the work environment is usually quiet to moderate.
