Overview

This position is considered remote, 0-1 days onsite at 10 Brookline Place, Brookline, MA each week. DFCI guidelines state that employees must reside in New England: Connecticut, Maine, Massachusetts, New Hampshire, Rhode Island, or Vermont.

 

GENERAL SUMMARY: 

Jimmy Fund Golf (JFG) is one of the nation’s oldest and largest organized charity golf programs. We support over 140 annual volunteer-run community golf tournaments that collectively raise millions of dollars for research and care at Dana-Farber Cancer Institute (DFCI) more information about JFG, please visit our website at www.jimmyfundgolf.org.

The JFG Officer position is responsible for helping JFG and the Division of Philanthropy achieve their revenue goals by supporting a large portfolio of volunteer-run community events and consulting with them on fundraising best practices, adherence to compliance requirements, and event logistics. This position also oversees all recognition initiatives and events in place to steward Jimmy Fund Golf constituents and strategizes on new ways to acknowledge and show appreciation to the program’s generous supporters. Further details on this role are outlined in the Primary Duties and Responsibilities section below.

The onboarding of this role will include a comprehensive training process which includes completion of online modules, shadowing colleagues, as well as hands-on learning experiences throughout the first calendar year in the role.

Responsibilities

PRIMARY DUTIES AND RESPONSIBILITIES:

 

Main Point of Contact for Volunteer-Run Community Events

Note: Jimmy Fund staff serve as main points of contact to each volunteer-run community event that fundraise in support of Dana-Farber and the Jimmy Fund.

  • Primary event contact for a large portfolio (25+) of volunteer-run community events cumulatively raising approximately $750,000+
  • This role includes:
    • Ensuring thorough fundraising, compliance, and logistical support of event organizers and committees
    • Attending select events as assigned to speak on behalf of Dana-Farber and/or to provide logistical event support
    • Supporting Jimmy Fund team members on additional events as assigned
    • Maintaining and increasing event fundraising year over year through continual analysis of revenue streams and expenses by:
      • Submitting projections on revenue goals for each tournament and continually update projections as necessary
      • Attending committee meetings as necessary to provide fundraising support, guidance, and advice
    • Completing approximately 30 annual donor visits and following all visits with a summary report
    • Ensuring compliance by event organizers to Dana-Farber policies and procedures

Jimmy Fund Golf Stewardship Program Management

  • Responsible for overseeing all stewardship initiatives and events under the supervision of the Senior Associate Director
  • Develop and execute strategic project plans and budgets for all stewardship-related programs, initiatives, and events, continually assessing how to best streamline and evolve these initiatives to be most impactful and cost-efficient
  • Manage internal relationship with the Donor Experience & Engagement team

Lead the planning of Jimmy Fund Golf’s stewardship events, including managing all logistics and speaking programs:

  • Jimmy Fund Golf Appreciation Night
  • Jimmy Fund Golf Night at Fenway and all Fenway Park stewardship events
  • Jimmy Fund Golf Classic
  • Other stewardship events as assigned

Reports and publication distribution

  • Coordinate all funding report requests for JFG team
  • Work with Donor Experience & Engagement team to ensure proper distribution of all golf stewardship materials and Dana-Farber/Jimmy Fund publications to appropriate volunteer parties

Recognition awards, publications, and spaces

  • Create, track, and distribute all tournament related awards and recognition materials
  • Facilitate all plaque recognition at Dana-Farber between the Jimmy Fund Golf and Donor Experience & Engagement teams
  • Oversee annual ordering, tracking, and distribution of stewardship gifts
  • Manage anniversary award distribution and tracking

Miscellaneous Stewardship Projects

  • Manage holiday communications plan
  • Manage the tour program, resources, and logistics for JFG’s stewardship events on Dana-Farber’s main campus
  • Continuously and proactively evaluate the stewardship program to ensure processes are streamlined and Jimmy Fund Golf is stewarding donors in the most effective and impactful manner

Lead strategy for engaging “Next Generation” of donors

  • Develop and execute a strategic project plan for engaging the next generation of Jimmy Fund Golf supporters (young professional and youth groups)
  • Collaborate with other Jimmy Fund teams on larger initiatives and long-term strategies

Administrative/Other Tasks

  • Manage other administrative projects as assigned to help meet Jimmy Fund Golf’s Operating Plan goals
  • Assist with internal golf fundraising events as they are developed
  • Create project plans and debrief reports as assigned
  • Develop a working knowledge of all Philanthropy Division systems (ClearView, Luminate, EMS, PeopleSoft, etc.)
  • Attend all mandatory meetings required of this position

Other Projects/Duties as Assigned

SUPERVISORY RESPONSIBILITIES:

Reports to Senior Associate Director. This position will seek major decision-making authority from direct supervisor. However, independent decision-making on day-to-day tasks and good judgment is required for dealing with Institute donors, trustees, volunteers, and confidential information.

Qualifications

MINIMUM JOB QUALIFICATIONS:

High School Diploma or equivalent required. Associates/Bachelor degree preferred. 3 years of professional experience required. Event management and fundraising experience preferred. Knowledge of golf preferred but not required.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

Organized and detail oriented with excellent communication skills. Strong writing skills required for the creation of event speaking points, communications with donors, and other projects.  Strong interpersonal relationship management skills required for working well with event managers, donors, and Dana-Farber staff. Juggle multiple projects and work self-sufficiently/proactively in a fast-paced environment. Strong word processing skills and knowledge of Microsoft Office are required. A high degree of confidentiality must always be exercised.

 

WORKING CONDITIONS:

Remote (0-1 days onsite at 10 Brookline Place each week). Some travel required to attend events and off-site meetings on a regular basis, especially May-October. May be required to speak on behalf of Dana-Farber and the Jimmy Fund at events. Requires light lifting for event set-up on occasion. Weekend and night work are required occasionally with advanced notice
