SUMMARY OF ROLE

The Philanthropy Specialist conducts in-depth prospect research and donor analytics to inform and guide the Philanthropy & Communication department’s solicitation strategies for individual giving and grant funding. This position is also responsible for maintaining the department’s online fundraising database (currently Raisers Edge NXT) as well as the electronic files related to all gifts solicited and received. The Philanthropy Specialist works closely with Philanthropy staff to ensure accurate and timely reporting and correspondence for grants and donor cultivation and stewardship.

PRIMARY AREAS OF RESPONSIBILITY / ESSENTIAL FUNCTIONS

Thought Leadership: Prospect Research and Donor Analytics

· Using a broad spectrum of sources, research, organize, and evaluate a prospect’s financial capacity, ability to give, willingness to give, charitable interests, and connection to SFAS.

· Produce in-depth, well-written reports on prospects based on a combination of data from the donor database, available financial records, real estate ownership, and other markers of high-quality donors.

· Prepare and present prospect briefings for the Director of Philanthropy, CEO, Fund Development Committee, and any other staff with an assigned portfolio.

· Maintain and manage the philanthropy/donor management database; enter and track contributions and document donor communication, cultivation, and stewardship.

· Generate regular and special reports using the donor database; provide analyses of giving trends, campaign solicitations and event results to strategize future donor solicitation and engagement.

· Assist the Director of Philanthropy in designing and launching a Planned Giving campaign.

Grants Management Support

· Maintain accurate and relevant data from grant applications and reports, enter and track contributions.

· Generate regular and special reports using the donor database.

· Provide support for grants to ensure a smooth, streamlined workflow from grant application through grant closeout.

· Coordinate and lead grant implementation meetings and monthly grant activities report meetings.

· Research potential funding opportunities from a variety of sources, including private and community foundations, government grants, and corporate foundations.

· Maintain all grant-related electronic and physical files that will be used from grant application through closeout, including grant attachments.

· Create monthly grant activity reports and participate in the report review meetings.

· Process gifts including acknowledgement letters, and assist with funder/donor correspondence.

· Ensure grant contracts are reviewed, signed, and returned according to funders’ deadlines and requirements.

· Maintain tracking system for department/program needs to help inform prospect research.

Donor Relations Support

· Proactively create and pull reports from the donor management system to inform donor relations activities.

· Ensure donor recognition information in the annual report and on SFAS’s website is current and updated at regular intervals.

· Manage gift processing and ensure timely acknowledgement of gifts.

· Assist in scheduling meetings with prospective donors and funders as needed.

As a member of the Philanthropy & Communications team, the Philanthropy Specialist will establish, cultivate, and maintain positive and collaborative internal and external relationships that amplify awareness and support of the Shelter’s mission and programs. The Philanthropy Specialist will interact regularly with board leadership, CEO, and 1st and 2nd level leaders of the Shelter and must exhibit professionalism, enthusiasm, courtesy, adaptability, flexibility, and a spirit of collaboration in the work environment.

QUALIFICATIONS

Education, Skills and Work Experience

· Relevant Education: Bachelor’s degree.

· Required Work Experience: two – four years of experience in prospect research, donor analytics and database management; demonstrated understanding of fundraising principles.

· Ability to investigate, analyze, and synthesize large quantities of data into a user-friendly and concise format for the Philanthropy & Communications team.

· Excellent computer skills, including proficiency with fundraising software/databases (Raiser’s Edge or similar is highly preferred) and data analytics software.

· Accuracy and time management skills required; highly organized and detail-oriented with the ability to juggle multiple tasks at once in a deadline-driven environment.

· Strong writing, editing, and verbal communication skills.

· Ability to exercise excellent judgment, discretion, and sensitivity in handling confidential information.

· Ability to work independently and to carry out assignments to completion.

Physical Demands

· Consistently required to transition from seating to standing; moving, and kneeling or crouching.

· Constantly required to speak and hear.

· Requires use of hands for grasping, reaching and other operative tasks.

· Required to lift an animate or stationary object of up to 50 pounds.

· The work environment exposes the employee to a noise level that is moderate to loud.

· The employee must be able to handle exposure to working conditions such as poor ventilation, heat, cold, sudden temperature changes, wet quarters, noise, medical and surgical odors as well as animal odors and dander.

· An understanding that SFAS is a managed admissions facility and the euthanasia and cremation of animals are regular functions of the shelter.

· Potential for exposure to zoonotic diseases, dangerous and fractious animals, hazardous chemicals, anesthetics, and sharp objects.

· The employee should be comfortable interacting with animals of various size, breed, and temperament.
