Who We Are

LSA Specialized Office Services (SOS) is a team of regular staff members who offer a full range of skills and services to units including student services, department administrative support, and executive assistance. Individuals will serve in interim positions throughout the College of LSA where there are requests due to absences, open positions, or special assignments.

SOS is currently seeking a qualified Administrative Assistant Senior to join their team, who will perform varied duties depending on the assignment including student services, human resources, financials, and administrative support activities. Rotating assignments may be for a few weeks to a few months depending on the needs of the department.

The target salary range for this position is $48,000 to$57,000. The final salary may be higher based on the qualifications and experience of the selected candidate.

Responsibilities*

Administrative support activities include: serving as the office manager for the department; organizing special events and guest speakers, providing administrative support to the department Chair/Director; managing the day-to-day operations of a subunit or smaller academic unit; providing facilities and equipment management; preparing and/or edit confidential correspondence and reports; schedule, coordinate and plan visits for faculty job candidates; prepare paperwork for faculty tenure and promotional reviews; and upload materials to the department website.

Administrative support for various HR activities that may include coordination of recruitment, hiring, and promotion activities for faculty and staff; assisting with gathering information for the appointment process for staff, faculty/lecturers, GSI, GSRA, and temporary appointments; transactional and administrative support for J-1, F-1 and H1B visas in partnership with our human resources team.

Administrative support for financial activities that may include providing information for financial transactions; assistance with grant applications; cash handling; and, tracking transactions to ensure proper payment, in partnership with our financial teams.

Student services administrative activities include the following: assisting with graduate and undergraduate student recruitment, admissions, schedule/course guide preparation, course approvals, providing support for faculty curriculum committees; answering general questions about the concentration and courses; scheduling advising appointments; issuing overrides; enrollment monitoring and planning; classroom scheduling; coordinate grade sheets and evaluations; event planning; organize files and communicate with applicants; may coordinate GSI/GSRA hiring process; coordinate and process graduate fellowships; Informational advising; and, provide best practices for student services to LSA units.
